About the Account Page
The Account page
of a contact or a staff document contains account and security information
for that person.
From the Organization
work area, you can use the Account
page to:
Account information
is grouped under the following sections. Note that different information
appears on the Account page depending
on the contact or staff member's Account Type and the account status.
You must enter
edit mode to make changes.
Note:
The majority of account information must be specified in the Organization
work area. However, some settings are work area specific or only appear
in certain work areas. For more information, see "Editing
an Account".
Proliance now incorporates a licensing feature that requires
a staff member or contact to be assigned a specific license type or types
in order to be allowed to access various aspects of Proliance functionality.
Please see the Licensing section below for more details on the license
types that can be assigned to individual staff members.
Important: To
access any aspect of Proliance functionality, a staff member or contact
must have the appropriate security roles and have been granted the relevant
license permissions. A staff member or contact must have at least
one active license type or they will be unable to log into Proliance.
Note: If the account type is None, the account will be empty except for the Account Type field and, in edit mode, a Create Account button.
Details
The Details section
is used to manage a contact or staff member's basic account information. You can also use this section to lock and unlock user accounts, edit accounts, and reset account passwords.
Note:
This section is available to all account types. If the current account
type is None, or access to the
current workspace or organization is denied, this is the only section available
on the Account page.
Security
Note: This
section will only be visible to users that have been granted the
"Security Permissions" security role.
In the Security
section, you can determine the account's access to the Organization work area,
the current portfolio, or the current workspace.
When creating an account, this information is required.
- Security Category: Select a security
category for the account in the current work area of Proliance. If the
security category is being changed, the list of security roles for the user will be updated to the Principal Set of security roles defined for the security category. The existing list of security roles will be replaced.
- Security Role(s): Select the security
roles you want to assign to this account in the current area of Proliance.
If principal set roles were defined for a security category, they are
displayed here. You can add or remove roles for the account as necessary.
- To add a role, click
Add while in edit mode, and then
select the role(s) to add. Note that if the security category is 'exclusive',
you are restricted to adding roles defined in the Role
Set section of the category.
- To remove a role,
select the role to delete and then click Remove.
Licensing
In the Licensing
section, you may determine the account's license rights to the Organization
work area, the current portfolio, or the current workspace. When creating
an account, this information is required, and the account must have at
least one assigned license type or they will not be able to log in to
Proliance.
Licensing rights are divided up into a number of functional
areas as set out below. An account may require access to a combination
of these in order to carry out their day to day responsibilities.
Email
Notification
The Email Notification
section enables you to specify whether or not a user should receive
notice
information by email. If email notification is enabled for an account,
any time a notice is sent to a user for any reason, Proliance also sends
the notice information and a link to the related document to a specified
email address.
In addition to all of the regular notice information, email
notification also includes the sender's company, the workspace in which
the notice was sent, and details on the related document.
Email notification is controlled by the following attributes:
- Enable Notification: Select this check box to indicate whether email notification is enabled
for the current user account. If you do not select this check box, you
may still specify a Notification Email
address, but the user will not receive notification through email.
- Notification
Email: Type the email address where notice information is sent if email notification
is enabled. This address is not related to the email addresses located on the Main page of a contact or staff document.
Note: - This section is
only available to User Accounts.
- Unlike most attributes
on the Account page, to set Email Notification your security role
must have permission to update contacts or staff members, as appropriate.

The following sections are only available from the Organization
work area:
Windows
Login
The Windows Login
section enables you to specify whether a user can automatically log on
to Proliance using IIS Windows authentication. Enabling Windows authentication
associates the Proliance user account with a specified Windows domain
account, bypassing the need to manually type a user name and password
to log on to Proliance. For more information, see "Setting
Windows Authenticated Login".
Windows authentication of user accounts is controlled by
the following attributes:
- Enable Auto
Login: Select this check box to indicate whether automatic login through Windows
authentication is enabled for the current user account. If this check
box is not selected, you may still specify a Domain
Login for future use, but the user will have to manually log on
to Proliance.
- Domain Login:
domainname\username
Note: - This section is
only available to User Accounts.
- Your System Administrator
must set up Proliance to enable Windows authentication. He can obtain
instructions on how to enable Windows authentication by reading the "Setting
Windows Authentication" section in any of the Installation documents
distributed with Proliance.

System
Integration
The following section is only available from the Portfolios work area:
Workspace
Data Access
In the Workspace Data Access
section, set which workspaces' data is available to a user in the Workspace Reporting menu and Workspace
Properties register of the current portfolio. You can only choose
from the current portfolio's live workspaces in the Active
workflow state.
Do one of the following:
- Select the All Workspaces radio button to include
every workspace in the portfolio.
- Click the radio button
next to the drop-down list, select Include
Selected and then click the Magnifying Glass icon to select the portfolioworkspaces
you want to include.
- Click the radio button
next to the drop-down list, select Exclude
Selected and then click the Magnifying Glass icon to select the portfolioworkspaces
you want to exclude.
Note: This section
is available to both User Accounts
and Integration Accounts.
