While having a user or integration account gives users and applications the ability to access Proliance, you can still determine which areas of your system they can access by using the Organization Access, Portfolio Access and Workspace Access settings on the Account page. Temporarily denying access to certain areas of Proliance can be a useful alternative to removing a user's account.
Organization Access
This setting determines whether the account can access the Organization work area. If a user is denied organization access, the Organization option is removed from the Proliance Home page. Set organization access from a contact or staff member's Account page in the Organization work area. When access is denied to the Organization work area, your account information is still retained.
Portfolio Access
This setting determines whether the account can access a particular portfolio. When adding a user's contact or staff document to a portfolio using the Add to Portfolio wizard, you typically also set their portfolio access. However, you can also set portfolio access at any time from a contact or staff member's Account page in each portfolio. This is especially useful in situations in which an account was created for a person after their contact document was added to a portfolio. When access is denied to a portfolio, all of your security settings for that portfolio will be removed. All other information is retained.
Workspace Access
This setting determines whether the account can access a particular workspace. When adding a user's contact or staff document to a workspace using the Add to Workspace wizard, you typically also set their workspace access. However, you can also set workspace access at any time from a contact or staff member's Account page in each workspace. This is especially useful in situations in which an account was created for a person after their contact document was exported to a workspace. When access is denied to a workspace, all of your security settings for that workspace will be removed. All other information is retained.
To grant work area access, your security role must have permission to update and create accounts in the appropriate work area. To remove work area access, your security role must have permission to update and delete accounts in the appropriate work area. For more information, see "About Security Permissions".
