Setting Workspace Data Access

From the Workspace Data Access section of the Account page, set which workspace information is available to your portfolio's users for viewing and reporting. Your settings determine which workspaces' documents are available to a user in the Workspace Reporting menu of a portfolio, and which workspaces are visible in the current portfolio's Workspace Properties register. You can only choose from the current portfolio's live workspaces in the Active workflow state.

You typically set workspace data access when adding a user's contact or staff document to a portfolio using the Add to Portfolio wizard, but you can modify this access at any time from the Account page. Because these settings are unique to each portfolio, the Workspace Data Access section is only available in the Portfolios work area.

To set workspace data access, your security role must have permission to update accounts in the Portfolios work area. For more information, see "About Security Permissions".

To set Workspace Data access

  1. Open the Contacts register from the Portfolios work area.
  2. — or —

    Open the Contacts tab from the Portfolios work area.

  3. Select a contact or staff document and click the Account page.
  4. Click Edit.
  5. Expand the Workspace Data Access section and do one of the following:

  7. Proliance saves the new setting.

Note:

  • Your Workspace Data Access settings do not affect which workspaces you can access. For information on workspace access, see "Setting Work Area Access".
