About the Schedule of Values Page

The Schedule of Values page records detailed information about a pre-commit contract. The Schedule of Values page uses a hierarchical list to represent the relationship between contracts and their cost allocations. For more information about using hierarchical lists, see "Hierarchical Lists"

Using the Display Columns drop-down list, you can display either all the line item columns or only the basic columns. The Basic option shows the most commonly used line item columns only.

This page uses two kinds of rows to present the following information. The document needs to be in edit mode before you can modify any of the columns:

• Parent rows show the line items for the original contract.

Note: For parent rows with only one child Allocated BCM row, Proliance keeps the following values synchronized between the two: quantity, unit price, and amount. For parent rows with multiple child rows, Proliance uses the Pivot Type for each child row to determine the quantity, unit price, and amount.

Parent Row columns

The following line item columns are visible when All is selected from the Display Columns drop-down list. Note that the visibility of some columns depend on the settings on the Settings page of the contract or change order. The document needs to be in edit mode before you can modify the columns.

• ACR Column in Approved State: Select the ACR column that the allocations controlled by the current line item should be moved to once the document enters the Approved state. The list of available ACR columns varies depending on the type of document. For more information, see "About ACR Columns".

  This column is available only if BCM has been enabled in the workspace and the contract.

• Category Code: You can choose a category code for the line item from the drop-down list. The category code is useful for grouping, sorting and summarizing the line items on the Schedule of Values according to a hierarchy that is meaningful within your workspace. You can have up two three levels within this hierarchy. For more information about setting up the list of category codes, see "About Lookup Lists" in the Proliance Local Admin on-line help.
• Committing Tax columns: Enter the amount of the committing taxes, if committing taxes have been defined for your workspace. The title of these columns depends on the Tax Codes defined for your committing taxes in your Tax List. These columns show the amount of each committing tax for the line item, based on the Tax Rule. Each committing tax amount is included in the Scheduled Amount.
• Cost Event:If the Schedule of Value line item was created as a result of a handoff, this is the cost event involved in the handoff. You cannot edit this field, but you can click the link to view details about the cost event.
• Cost Event Line Item: If the Schedule of Value line item was created as a result of a handoff, this is the cost event line item that is linked to the Schedule of Value line item. You cannot edit this link.
• Current Balance: This is the difference between the Scheduled Amt and the Current Invoiced Amt of the line item. You cannot edit this column.
• Current Invoiced Amt: The total amount that has been invoiced against the line item. You cannot edit this column.
• Current Retainage: The total amount of retainage taken against the line item to date. You cannot edit this column.
• Current Work To Date: The progress of work to date against the contract for the selected line item, based on progress information from the most recent invoice. You cannot edit this column.
• Custom Code[1,2]: Select a value that someone in your workspace has defined specifically for your workspace's documents.
• Delivery Information:Optionally add a note specifying delivery instructions for the line item.
• Description: Type a brief description of the line item.
• Exempt From Retainage: Select this check box to specify that Proliance should not take retainage on the current line item. You cannot select this check box if there is already outstanding retainage against the line item.
• General Work Retainage Pct (Percent): The default percent used to calculate General Work retainage for a given line item, if Line Item retainage is used. If you are using summary retainage, the values on the line items are ignored.
• Item Classification: Select a workspace information code from the drop-down list. An example of a common code system for Plan-Build workspaces is the MasterFormat™ system of the CSI.
• Item Markup Code: Enter the markup code that should apply to this line item. The available markup codes are defined on the Settings page.
• Item Notes: Optionally type a short note that provides more information about the line item. This note can go into more detail than the Description.  
• Line Number: Type numbers or letters to distinguish a line item from the other line items in the current contract.
• Non-Committing Tax columns: Enter the amount of the non-committing taxes, if non-committing taxes have been defined for your workspace. The titles for these columns depend on the Tax Codes for your non-committing taxes as defined in your Workspace Tax List. These columns show the amount of each non-committing tax for the line item, based on the Tax Rule. Each non-committing tax amount is included in the Total With All Taxes Amt, but not in the Scheduled Amt.
• Pre Tax Total Amt (Amount): This is the line item amount before any taxes. If you type a value in this column, Proliance calculates the committing and non-committing taxes based on the tax rule. It then calculates the Scheduled Amt as follows:

  Scheduled Amount = Pre Tax Total Amt + (Committing Tax columns)

  If you choose to leave the Pre Tax Total Amt blank and type a value in the Scheduled Amount column, Proliance automatically calculates the Pre Tax Total Amt as follows:

  Pre Tax Total Amt = Scheduled Amount - (Sum of committing Taxes)

• Scheduled Amount:

  Enter the monetary value of the line item, expressed in the contract currency. This includes each Committing Tax column amount for the line item, but it does not include the Non-Committing Tax column amounts. The scheduled amount is described by the following formula:

  Scheduled Amount = Scheduled Qty * Scheduled Unit Price

  Proliance uses Scheduled Amount in many of its calculations. When variable total billing rules are in effect, Proliance updates the Scheduled Amount whenever the line item amount is changed from an invoice.

  If the Scheduled Amount does not equal Scheduled Qty * Scheduled Unit Price after you update a line item, Proliance performs the following recalculation:

  Scheduled Unit Price = Scheduled Amount / Scheduled Qty

   

  The Scheduled Amount must always equal the sum of the amounts in the Allocated BCM child rows.

• Scheduled Hr (Hours:) Enter the estimated number of hours needed to complete the line item.
• Scheduled Qty (Quantity): Enter the scheduled quantity for the line item. The default value is 1.0. Whenever you change this value, Proliance recalculates the Scheduled Amount.
• Scheduled Unit Price:

  Enter the agreed upon price for one unit of the material that the line item represents.

  Scheduled Unit Price = Scheduled Amount / Scheduled Qty

  Proliance automatically performs this calculation if you edit Scheduled Amount or Scheduled Qty. If you set Scheduled Amount to a value other than 0, but set Scheduled Qty = 0, Proliance sets Scheduled Qty = 1 before performing the calculation.

  If you set Scheduled Amount = 0, Proliance does not perform the calculation. Instead, it sets Scheduled Qty = 0.

• Scheduled UOM (Unit of Measurement): Enter the unit of measurement for the work described by the line item. You can type any unit of measurement in this box.

• Specification Section:Select the section of the workspace specifications manual which details the specifications for the line item.
• Stored Material Retainage Pct (Percent): The default percent used to calculate Stored Material retainage for a given line item, if Line Item retainage is used. If you are using summary retainage, the values on the line items are ignored.
• Tax Rule: Select the tax rule for the line item from the drop-down list. The tax rule specifies the taxes that apply to the line item and the order and manner in which they apply. For more information, see "About Tax Rules". :
• Total Scheduled Amount: The Total Scheduled Amount appears below the grid of line items. Its value is the same as the Original Contract Value on the Financial Summary page.
• Total With All Taxes Amt:

  Enter the sum of the Scheduled Amt for the line item (which includes all of the Committing Tax column amounts) and the Non-Committing Tax column amounts.

  If you type in the Total With All Taxes Amt, Proliance performs the following steps:

  1. Calculates the Pre Tax Total Amt as follows:

  Pre Tax Total Amt = Total With All Taxes Amt * Pre-Tax Factor

  2. Applies the line item's Tax Rule to the Pre Tax Total Amt. Note that this calculation overrides any tax amounts that may already exist for the line item.
  3. Calculates the Scheduled Amount:

  Scheduled Amt = Total With All Taxes Amt - (Non-Committing Tax columns)

  Note that Proliance applies currency precision to the Scheduled Amount.

  4. Recalculates the Pre Tax Total Amt:

  Pre Tax Total Amt = Scheduled Amount - (Committing Tax columns)

  5. Calculates the Total With All Taxes Amt and adjusts the value you typed:

  Total With All Taxes Amt = Scheduled Amount + (Non-Committing Tax columns)

• View Items:If the Schedule of Value (SOV) line item was created as a result of a handoff, you can click View Items to see the cost event line items that were used to create the SOV line item.
• Child Allocated BCM rows are indented below a parent row and they show cost account allocations for contracts, provided that the parent line item has been allocated to at least one cost account.

Child Allocated ACRcolumns

• ACR Column: Select the ACR column that information from the Allocated BCM child row is currently assigned to, by using the drop-down list. For more information, see "About the ACR Column".
• Advanced Code: This is the advance code associated with the cost account. This code cannot be edited here. For more information, see the Advanced Code section in "Cost Account - Main".
• Amount:

  Enter the amount that you wish to allocate to the cost account. Proliance then updates the Quantity or Unit Price, depending on the Pivot Type, to maintain the following formula:

  Amount = Quantity * Unit Price

  The total amount from all the Allocated BCM child rows must equal the parent line item's Scheduled Amount.

  When you select another Unit Code, Proliance will recalculate the Amount based on the default UOM and Unit Price associated with the new code.

  Note: If unit price information is currently hidden in the document, Proliance continues to update the values in the above formula in the background. For more information on showing/hiding unit price information, refer to the Settings page for the contract.

• Cost Account: Click the Magnifying Glass icon and select the cost account that the Allocated BCM child row is allocated to.
• Item Description: Type a brief description to help you determine the origin or purpose of an Allocated BCM child row.
• Item Note: Optionally type a short note that provides more information about the Allocated BCM child row. For example, this note may elaborate on the Item Description.
• Line Number: Enter a line number for the Allocated BCM child row.
• Pivot Type:

  Select which value should be the "pivot" point (i.e., stays constant) when Proliance recalculates the following formula:

  Amount = Quantity * Unit Price

  For example, if the pivot is Unit Price, then Proliance keeps the unit price fixed if the Quantity or Amount changes. If the pivot is Quantity, then Proliance keeps the quantity fixed during recalculation.

  The default pivot type is specified on the Settings page of the contract, under the section Auto-Create Allocations for New Line Items.

• Reporting Code 1-3: Optionally Click the Magnifying Glass icon to select up to three reporting codes to help you categorize the Allocated BCM child row. These codes provide additional means to group, sort and filter the allocations in Proliance. This is especially useful when working with the Anticipated Cost Report (ACR).
  
  By entering reporting codes for all the cost account allocations, you will be able to use the ACR to view the entire workspace, summarized by the items and levels within the reporting codes. This is similar to the power offered by the advanced codes in cost accounts. For more information, see "Configuring Cost Account Advanced Codes".
  
  The reporting codes that you choose here also apply to the invoices for the contract. However you can modify the reporting codes only from the contract.  
• Quantity:

  Enter the quantity of the Allocated BCM child item. Proliance uses the quantity to calculate the total amount as follows:

  Amount = Quantity * Amount

  If the Pivot Type is by 'Amount', Proliance will automatically adjust the Quantity to maintain the above formula if the Total Amount is edited.

  Drawdowns from a cost account line item can be by quantity, as well as by lump sum.

  Note:

  • The Quantity column is visible only if Show Unit Price Information has been enabled on the Settings page of the contract. Proliance continues to update the Quantity even if unit price information is hidden.
  • The Quantity is editable only when the Amount is editable.
  • If neither a Quantity nor Unit Price is specified, Proliance uses Quantity = 1 and Unit Price = Amount to satisfy the formula above.
• Project:Optionally click the Magnifying Glass icon to select a project for the allocation. The projects you can choose from may be restricted depending on the Restrict Projects that Child Items Can Link to setting on the Projects tab. For more information, see About the Projects Tab.
• Unit Code:

  Click the Magnifying Glass icon and select the unit code for the Allocated BCM child row.

  The unit code identifies what is being "bought", to help you identify items across different line items in different documents in Proliance.

  When you select a Unit Code, Proliance defaults the UOM and Unit Price to the values defined for the unit code. For more information on setting default UOM and unit price information, see "Editing Lookup Items".

  Note: The Unit Code column is visible only if Show Unit Price Information has been enabled on the Settings page of the contract.

• Unit Price:

  Enter the price for each unit or accept the default that was populated based on the unit code.

  Note: If you select a different unit code, Proliance will replace the existing unit price with the default unit price in the new unit code.

  The unit price is expressed in the workspace currency. Proliance will automatically convert the default unit price for a unit code into the "native" currency if the Allocated BCM child row uses a currency different from the workspace currency.

  Example

  For example, the workspace currency is USD, while a BCM child row is in CDN. When you select a unit code for the BCM child row, Proliance will convert the unit price in the unit code from USD to CDN.

  Note:

  • The Unit Price column is visible only if Show Unit Price Information has been enabled on the Settings page of the contract. Proliance continues to update the Unit Price even if unit price information is hidden.
  • The unit price is editable only when the Amount is editable.
  • If neither a Quantity nor Unit Price is specified, Proliance uses Quantity = 1 and Unit Price = Amount to satisfy the formula above.
• UOM:

  Enter a unit of measure (UOM) or accept the default UOM that was populated based on the unit code.

  Note: If you select a different unit code, Proliance will replace the existing UOM with the default UOM in the new unit code.

  The UOM is the 'unit' the quantity representsfor example: LF (Linear Ft), SF (Square Ft), cu yd (Cubic Yard), or the equivalent metric versions.

  The UOM is critical in determining the unit price. Dissimilar UOM values cannot be used in the same calculation. For example: if the unit price is for m3 (Cubic Meters) but the quantity is in cu yd, then it is not possible to use these measurements in calculations.

  Note: The UOM column is visible only if Show Unit Price Information has been enabled on the Settings page of the contract.

  The UOM is editable only when the Amount is editable.

In addition, child Allocated BCM rows on expense pre-commit contracts, change orders and auto-commit invoices also display the following drawdown information:

Drawdown columns

• Actual Drawdown Amount: The amount of money that the linked drawdown has successfully taken from the source cost allocation. This amount may be less than or equal to the Required Drawdown Amt. This amount is based on the contract currency. You cannot edit this amount.
• Actual Drawdown Qty: The quantity that the linked drawdown has successfully taken from the source cost allocation. You cannot edit this amount.
• Drawdown Type:

  Specify how a cost line item from a cost account should be drawn down: by changing the total amount or by changing the quantity of the source BCM allocation.

  Note: You cannot change the Drawdown Type once a drawdown has occurred, unless the drawdown has been removed.

• Is Frozen: When selected, this linked drawdown is locked. Proliance will not attempt to perform the drawdown until you unlock it.
• Drawdown Note: Optionally type a short note for each linked drawdown.
• Linked Drawdown Item: Click the Magnifying Glass icon and select the source cost allocation, as it appears on the Line Items page of the cost account.
• Required Drawdown Amt:

  Enter the amount that you would like to draw down. This amount may be the same as the BCM Line Item amount or Cost Account commitment. If this amount is greater than what is available, Proliance draws down as much as possible (until the source equals to "0" and then 'freezes' it.

Note: The child Allocated BCM rows are available only if BCM integration has not been disabled for the contract or workspace. For more information, see "Enabling/Disabling BCM in Proliance".

The following table shows the actions available for the line items list. Note that these actions are available only when the contract is in edit mode.
