Configuring Cost Account Advanced Codes

Every cost account has an advanced code. The advanced code is a label that helps you to quickly see the grouping codes that a cost account uses. It is useful for filtering information on the Anticipated Cost Report (ACR).

The advanced code is composed of between one and ten grouping codes.

From the Workspace Cost Settings document, you can determine which grouping codes are active in the workspace. Active grouping codes can be optionally added to the advanced code. When you create and then save a cost account, Proliance checks that a value has been selected for each active grouping code.

Your security role must have permission to edit workspace cost settings documents. For more information, see "About Security Permissions".

 To configure cost account advanced codes

  1. Open the Workspaces work area for the workspace you wish to configure.
  2. Under Administration, expand the Cost submenu.
  3. A list of the "Cost Settings" options appears.

  4. Select Workspace Cost Settings.
  5. Select a document to open.
  6. Click Edit.
  7. In the Active column, select the check box next to the grouping code that you want to make active in the workspace.
  8. In the Sequence column, select the position in the advanced code in which the grouping code should appear.
  9. For example, select "Third" if you want the selected grouping code to be the third grouping code from the left in the assembled advanced code.

    Note: When you select a position for the grouping code and save the change, the grouping code becomes available for new and existing cost accounts.  

  10. In the Separator column, select the symbol that should appear between the selected grouping code and the next one in the assembled advanced code.
  11. For example, you could select the forward slash ( / ) symbol to separate the third grouping code from the fourth one in the advanced code.

  12. Repeat steps 6 to 8 until you have selected all of the grouping codes which should compose the workspace's advanced codes.
  13. Click Save.
  14. Proliance prompts you to save the information and/or synchronize it with the information in the Organization work area.

  15. Click Save only if you only want to save the information.
  16. —or—

    Click Save and Synchronize if you wish to save this information and synchronize it with the information from the Organization work area.

    The information is saved.

Note:

  • While configuring the advanced code, you can see a preview of the advanced code at the bottom of the page
  • You can preview the available content for a pre-defined grouping code by clicking the magnifying glass icon The magnifying glass icon..
  • It is not possible to assign more than one group code to the same sequence position.
  • A Proliance document also contains information about itself, such as who created the document, and which workspace the document was created in. For more information, see "Common Document Information".
