About Contacts
Proliance can record comprehensive information about contacts
from various companies. These lists of contacts are similar to a telephone
directory and includes everyone with whom your organization has a business
relationship. Contacts may or may not be currently involved in a workspace.
A contact's information is organized on the following pages:
- Main: Contains all the commonly used information about a contact. For more
information, see "Contacts - Main".
- Account: Contains information about the contact's account and security roles
in Proliance. For more information, see "About
the Account Page".
- Properties: Contains information about the contact document itself, such as the
user who created the document and the workspace in which the document was
created. For more information, see "Document
Properties".
Additional contact information is also available on the following
tabs:
- Project: Lists the projects the contact is linked to and enforces project security based on the contact's membership in a project team.

- Workflow: Enables you to see where the document is in its lifecycle, the users
who have already performed actions on the document, and the users who
will receive notification when the document changes to a specific state.

- Activity Log: Records all the activities of the document, such as when it was saved,
imported, exported, forwarded, or received. For more information, see

- Attachments: Contains a list of all the documents related to this contact. For more

Scope of Contact Documents in Proliance
The guidelines for using contact documents
differs for each work area:
From
the Organization work area
Contacts defined in the Contacts
register or in the Contacts tab
in the Organization work area work for external companies. These contacts
can be involved in any workspace or portfolio. However, a contact will not
appear in any work area—even on workspaces in which the contact's company
is already involved—unless you explicitly add the contact.
In the Organization work area, you can also create
user accounts for the contacts you define. This allows the contact to
log into Proliance and communicate with other users.
From
the Portfolios work area
The Contacts register
and the Contacts tab in the Portfolios
work area shows all the contacts and staff members that have been added
to the portfolio. Before a user can access a portfolio, their contact or staff
document must be added to that portfolio.
From the Portfolios work area, new contacts or accounts cannot
be created and only certain information on the Account
page can be modified in the exported contacts. All other information is
defined from the Organization work area and then synchronized to the portfolios.
From
the Workspaces work area
The Contacts register
and the Contacts tab in the Workspaces
work area shows all the contacts and staff members that have been added
to the workspace. A user's contact of staff document must be added to a
workspace before their account can access it.
From the Workspaces work area, new contacts or accounts cannot
be created and only certain workspace specific fields can be modified in
the exported contacts. All other information is defined from the Organization
work area and then synchronized to the workspaces. For more information,

Contacts and Projects
The Contacts document displays the Project tab only in the Workspace work area. On the Project tab for a Contact document within a Workspace Work Area, you can link a contact to:
- All projects in the contact's Workspace work area
- A single project in the contact's work area.
The Project tab displays a Link to all projects as a single check box. If the Link to All Projects check box is selected, the current contract has a link to all projects according to their security permissions, although the list of links to these project documents is not shown in the list. Only those projects linked with additional information (such as notes) appear explicitly in the project list.
To
open a contact
