About the Contacts Register

The Contacts register lists all of your company's business contacts. These are people who may be involved in current or previous workspaces.

Depending on the permission of your security role, you can open this register using any of the work areas described below, but keep in mind that the contacts displayed may differ depending on the work area used:

ClosedFrom the Organization work area

The Contacts register in the Organization work area shows all of the contacts with whom your company has—or has had—a business relationship. These are people who are external to your organization. These contacts may or may not by involved in your company's workspaces.

You can also see the same contact information from the Contacts tab of a company record.

Note: A contact can be associated with only one company. If a contact works for more than one company, then you must create separate contact records.

ClosedFrom the Portfolios work area

The Contacts register from the Portfolios work area lists every contact or staff member that has been added to the portfolio. These may have been added from external companies, org companies, or business units from the Organization work area.

To see all the contacts from a specific company, you can sort the register by Company.

ClosedFrom the Workspaces work area

The Contacts register from the Workspaces work area lists every contact or staff member that has been added to the workspace. These may have been added from external companies, org companies, or business units from the Organization work area.

To see all the contacts from a specific company, you can either sort the register by Company, or use the References tab from that company's document.

Each of the columns displayed in this register shows information taken from any of the contact pages. The columns displayed depend on the current view.

The following table lists the specialized commands available in the Contacts register. For more information about the standard commands available in the Contacts register, see "Proliance Registers". Available commands are determined by the permissions in your security role. 

Specialized commands on the Contacts tab  

Add selected contacts to a workspace or portfolio.

This option is available in the Organization work area and is located under Tools.

Tools > Add Selected Contacts to...

 

View the access rights to work areas for selected contacts.

This option is available in the Organization work area and is located under Tools.
