Creating an RFI

When you require specific workspace information, create and send an RFI question to a workspace user who may be able to provide you with the answer. When you create an RFI, you can link it to an RFI issue, which contains additional information on the RFI and provides you with the ability to group RFI discussions that share a common theme.

All RFIs are created from a template that contains predetermined values. You can create a new RFI based on the default template, or choose another one from the drop-down list. For more information, see "About Workspace Templates".

Your security role must have permission to create RFIs. For more information, see "About Security Permissions".

To create an RFI

  1. Open the RFI register.

  2. Click New to create a new RFI using the default template.
  3. — or —

    Click the arrow next to New to select the template to use. For more information, see "About Document Templates".

    A blank RFI appears. Some information may already be filled in, depending on the template used.

  4. To link this RFI to an RFI Issue, next to the RFI Issue field, click the Magnifying Glass icon The magnifying glass icon. and select it from the RFI Issues dialog box.
  5. If the RFI Issue that you wish to select has not been created in Proliance, click New while in the RFI Issue picklist. Complete the required fields and click Save. You can now return to the picklist to select this RFI Issue.

  6. In the Subject field, type a brief subject for the RFI.
  7. If you are going to perform a workflow action, type the information required for this action. For more information, see "RFI Workflow Actions" for a list of preconditions for a specific action.
  8. Complete any additional required information. Headings marked with an asterisk (*) or highlighted fields are required. For more information, see "About Required Fields".
  9. Please refer to the following for more information on the fields for each page:

  10. Click Save.
  11. Proliance saves the document.

Tip:

  • If you need help preparing this RFI, send a notice to another workspace user. To do this, save the RFI and then click Options > Forward. The recipient of the RFI notice receives a blue 'sticky note' attached to the RFI with instructions on how to collaborate on this document. Note that distributing a notice does not changes the state of the document. For more information, see "Forwarding a Document".
