RFI - Main
The RFI's Main page contains the question, answer,
and additional information that helps to explain the question being asked.
If you linked an RFI Issue to this RFI, you can open it by
selecting the link in the RFI Issue
box. An RFI Issue contains
additional information on the topic that is being discussed in this RFI.

The following fields summarize the content of the RFI. The
RFI needs to be in edit mode before you can modify the fields.
- RFI Issue:Click the Magnifying Glass icon to select the RFI Issue to which this RFI is
linked. If the RFI Issue that you wish to select has not been created
in Proliance, click New while
in the RFI Issue picklist. Complete the required fields and click Save. You can now return to the picklist
to select this RFI Issue.
RFI attributes are grouped under the following
sections:
General
- Current State:Indicates the current state of
the RFI.
- Subject:Type the subject of this RFI.
- Number:Type a string of characters that uniquely identifies this RFI, or leave
it blank if Proliance is configured to supply one. You can configure
the format of this number by using Proliance
Local Admin. For details, refer to "Editing the Number Format"
in the Proliance Local Admin on-line help.
- Priority:Select a priority level that is associated with the default number of
days when a response is expected.
Project
The Project section displays a simplified version of the information available on the Projects tab. Use this section to quickly view a list of projects currently linked to the document,
and to create, read and delete project links in edit mode. Information displayed in the project section is also available on the Projects tab, and any changes you make in the Project section is synchronized with the Projects tab.
Note:
- Like all other project-related user interface elements, the Projects section is hidden if no projects currently exist in the workspace.

Using the Project section, you can set the current document's project linking status to:
- None: Select to remove all project links for the current document. You can only remove project links if you have the appropriate role security permissions, and your contact document has a link to the same projects.
- One: Select to display a box where you can enter a single project link for the current document. Click the Magnifying Glass icon to display a list of available projects from which you can choose.
- Multiple: Select to display a box where you can enter multiple project links for the current document. Click the Magnifying Glass icon to display a list of available projects from which you can choose.
- All: Select to link the current document to all projects within the current workspace.
The current status of project linking is displayed in the section header so that you can quickly scan project status with all the sections on the Main page collapsed. The document must be in edit mode before you can update information in the Project section.
Question
- Question: Type the question you want to be answered.
- Question Sent Date: Click the Calendar icon to select the date when the RFI question is sent.
The default date is the current system date.
- Suggested Response: Type a suggestion about how the recipient can respond. This information
is entered by the author of the RFI.
- Reason for Question Clarification: Type the reason why the RFI question is insufficient or unclear.
- Source Contact and Company: Click the Magnifying Glass drop-down list to select the user (and the company to which
the user belongs) who is sending the RFI question. This name may be different
from the Author Information if the RFI author sent the RFI on behalf of
the Question Source. For more information, see "Document
Properties".
If this RFI subtype has been set up to use initiating participants, Proliance
adds the name of this source contact
to the appropriate recipient fields (To:, CC:, HCC:) in the Workflow
tab during a pending state change. To learn more about the participants
feature, see "Selecting Roles or Participants" in the Proliance
Local Admin online help.
- Original Contract Document: Click the Magnifying Glass drop-down list to select the contract that is related to this
RFI.
Answer
- Answer:Type a response to the question.
- Answer Sent Date:Click the Calendar icon to select the date when the answer is returned
to the sender.
- Due Date:Click the Calendar icon to select the date when an answer is expected.
- Reason for Answer Clarification: Type the reason why the answer is insufficient or unclear. After entering
this reason, return this RFI to the sender and change the RFI's state
to "Pending Answer Clarification". For more information, see
"RFI Workflow Actions".
- Answer Source Contact and Company: Click the Magnifying Glass drop-down list to select the user (and the company to which
the user belongs) who is responsible for answering the RFI question. The answer source contact
must have a security
role with full permissions
to catalog cards, a state
of Active, and a valid
account. The answer source contact is required
in order to perform the Start Review
workflow action.
Proliance will add the name of this source contact to the appropriate recipient
fields (To:, CC:, HCC:) in the Workflow
tab during a pending state change, if this RFI document subtype has been
set up to use receiving participants. To learn more about the participants

- Original Contact Reference:Click the Magnifying Glass drop-down list to select the original contract that is related
to the RFI answer.
Cost
Impact
- Cost Impact Field: Select the cost impact this RFI has on the workspace. There are three
choices: "Yes", "No" and "Unknown". By default,
the "No" indicator is selected.
- Estimated Cost Amount: Type the monetary cost impact that this RFI has on the workspace.
- Cost Impact Note: Type additional comments to explain the cost impact.
Schedule
Impact
- Schedule Impact: Select from the drop-down list whether this RFI has a time impact on
the workspace. There are three choices: "Yes", "No"
and "Unknown". By default, the "No" indicator is selected.
- Impact Day Type: Select from the drop-down list the type of impact this RFI has on the
workspace. There are two choices: calendar days or work days.
- Estimated Impact Days: Type the number of days affected by the RFI. These days may be either
calendar or work days.
- Schedule Impact Note: Type additional comments to explain the time impact.
Area
This section lists the areas or zones that are discussed
in this RFI. The list of areas or zones in your workspace can be customized
using the Proliance
Local Admin application.
Enter edit mode to do the following:
- To add an area or
zone, click Add Line and then
select the entry to add.
- To remove an area
or zone, select the check box next to the line to remove and then click
Remove Line(s).
Categories
This section lists the categories that are discussed in
this RFI. The list of categories in your workspace can be customized using
the Proliance
Local Admin application.
Enter edit mode to do the following:
- To add a category,
click Add Line and then select
the entry to add.
- To remove a category,
select the check box next to the line to remove and then click Remove
Line(s).
Disciplines
This section lists the disciplines that are discussed in
this RFI. Examples of disciplines include: Architectural, Engineering,
and Civil. The list of disciplines in your workspace can be customized using
the Proliance
Local Admin application.
Enter edit mode to do the following:
- To add a discipline,
click Add Line and then select
the entry to add.
- To remove a discipline,
select the check box next to the line to remove and then click Remove
Line(s).
