Forwarding a Document

You can notify anyone inside your workspace or organization about a document for review and comment. Notifying someone in this manner is similar to performing a workflow action, except that Proliance does not change the state of the document.

Sending a notice is ideal for copying a document to certain people or to informally circulate the document for review and feedback.

When a Proliance notification email is received, users can determine whom the email was generated from by looking at the Action By field. That field contains the name of the Proliance user who executed the workflow.

The following examples illustrate the different uses of the Forward option:

You can forward a document that is in any workflow state.

To forward a document

  1. Open the document that you wish to forward.

  2. Click Forward, which is located at the top of the document.

  3. Proliance displays a forwarding notice for you to fill in.

  4. Next to the To: field, click the Magnifying Glass drop-down list to select the recipient of this notice.
  5. Optionally enter the following:
  6. Click OK.
  7. Proliance sends the notice to the each recipient's My Notices folder. If email notification has been enabled for any of the recipients, information on the notice is also sent to their notification email address.

Note:

  • Documents cannot be forwarded in the Portfolios work area.
