About Views

Proliance gives you a fine degree of control over the appearance of registers and dialog boxes that list a selection of documents or other information. A set of appearance preferences for a register or dialog box is known as a view. A view is a combination of column, sorting and filtering preferences unique to a particular register. You can create new views, use views created by other users, or use the views predefined in Proliance. Each register has its own set of views that do not apply to any other register type.

If you want to configure the number of rows displayed in a register, this setting is stored for each user for all registers in Proliance. For more information on this setting, see "Configuring My Preferences".

There are three types of views. The following table explains the characteristics of each type.

View Type Characteristics

Personal

  • Created by individual users.
  • Collaboration users cannot create personal views.
  • Only the creator can view, select, or manage a personal view.
  • Only available to the organization, portfolio, or workspace in which they are created. This includes managed workspaces, which do not share personal views with other workspaces in the same portfolio.

Shared

  • Created by individual users.
  • Collaboration users cannot view or create shared views.
  • Anyone with access to Shared Views and the appropriate register can view, select, or manage a shared view.
  • Shared between workspaces in the same portfolio, but not between standalone workspaces, portfolios, or the Organization work area.
  • ClosedExample

    Workspace A and Workspace B are in the same portfolio, while Workspace C is a standalone workspace.

    A shared view is created for the RFI register of Workspace A.

    • The shared view is available in the RFI register of both Workspace A and Workspace B.
    • The shared view is NOT available in the RFI register of Workspace C.
    • The shared view is NOT available in the Contacts register for any workspace.

Proliance

  • Standard, predefined views designed to satisfy common business practices.

You can access and manage the views you are permitted to use from either the Views command in a register or the Manage Views command in a dialog box.

The Views command of a register displays the available views for the register. The Display bar at the top of every register displays the name of the view that is currently active, and indicates if the view is filtered.

Note:

  • You will not have access to any register views which display document information that your security role prevents you from seeing.
