About Distribution Lists

Distribution lists enable you to group a number of contacts into one list to easily select them in a Contact picklist. Instead of sorting through numerous contacts and selecting each one-by-one, you can choose a set of contacts from a few distribution lists.

When you are using a picklist that can only use contacts that have Proliance accounts, Proliance automatically filters out the contacts without accounts from the selected list. For example, when you perform a workflow action, you can select a distribution list for the workflow notification. Since notifications can only be sent to contacts with accounts, Proliance removes the contacts without accounts from the selected list.

A Distribution List's information is organized on the following pages:

• Main: Contains the details of the distribution list, including the name and number. For more information, see "Distribution Lists - Main".
• Members: Contains the contacts that are part of the distribution list. For more information, see "Distribution Lists - Members".
• Properties: Contains information about the document, such as the author of the document and the date when it was created. For more information, see "Document Properties." :

• Project: Lists the projects the document is linked to. For more information, see "About the Projects Tab"

• Workflow: Enables you to change the default action for the correspondence document and to optionally choose who should receive a notice when the document's state changes. This page also shows whether the distribution list document has a predefined workflow plan and whether anybody has subscribed to it. For more information, see "About the Workflow Tab".
• Activity Log: Records all the activities of the distribution list document, such as when it was saved, imported, exported, forwarded, or received. For more information, see "Activity Log Tab".
• Attachments: Contains a list of all the documents related to this distribution list. For more information, see "Attachments Tab".
