About Bid Packages

Use the Bid Package document to manage the overall bid process, including defining the bid request, designating bidders, issuing the bid request, tracking bid status, and managing the final submitted proposals.

Much of the information that you enter in a package is made available to each bidder as part of their invitation. Bidders can review this information in preparation for completing their proposal. A smaller subset of information from the package is used to structure an itemized list of goods and services where bidders can enter their pricing information.

A Bid Package document's information is grouped under the following pages:

• Main: This page identifies the main company contact for the bidding process (the bid coordinator), the bidding supervisor (the bid manager), and any optional internal information for the package. After the package is closed for bidding, the Main page can contain a link to the winning proposal. For more details about the contents of the Main page, see "Bid Package - Main".
• Bidders List: This page contains a list of vendor companies and contacts who are involved in the bidding process. When the package is issued, an invitation is created for each contact on the bidders list. You can use the Bidders List page to monitor and navigate to related documents for each bidder, including invitations and proposals. For more information, see "Bid Package - Bidders List".
• Bidder Instructions: This page provides guidance to bidders on how to respond to the invitation. This information is made available to bidders on the Instructions page of their invitation. For more information about the Bidders Instruction page, see "Bid Package - Bidder Instructions".
• Scope of Work: This page describes at a high level the tasks to be accomplished and services to be delivered by the bidder, including the deliverable schedule, applicable standards and special requirements. This information is made available to bidders in their invitation. For more information, see "Bid Package - Scope of Work".
• Price Breakdown: This page contains an itemized list of the good and services to be included in the proposals submitted by bidders. The Price Breakdown grid appears on the bidder's invitation, and is also used to enter pricing information in the bidder's proposal. For more information, see "Bid Package - Price Breakdown".
• Properties: Contains the attributes of the document, such as the author of the document, and the date in which the document was created. For more information, see "Document Properties".

Additional package information is also available on the following tabs:

• References: The References tab displays three sub tabs where you can view the status of the documents related to the current package: The Addenda tab, the Invitations tab and the Proposals tab.

• Project: Lists the projects the package is linked to. Documents related to the package ( invitations, proposals and addenda) automatically inherit the same project links as the parent package. Likewise, when project links in the package are modified, the changes are also updated for the child documents. For more information, see "About the Projects Tab"

• Workflow: Enables you to see where the document is in its lifecycle, who has already performed actions on the document, and who will receive notification when the document changes to a specific state. For more information about workflow in Proliance, see "Workflow tab".
• Activity Log: Records all the activities related to the bid package, such as when it was saved, imported, exported, forwarded, or received. For more information, see "Activity Log tab".
• Attachments: Contains a list of other documents related to this bid package. For more information, see "Attachments Tab".
