Creating a New Hold

You should create a new hold if there are documents that you want to block and there are no currently deactivated holds that meet your needs. To create a new hold, your security role must have permission to create holds. For more information, see "About Security Permissions".

You can place a hold against companies in the Companies register. You often do this when your business relationship with that company is experiencing difficulties. The hold prevents Proliance users at your company from performing specific actions on the affected company's records (for example, approving contracts or invoices).

ClosedTo create a new hold

  1. Open the Holds register.
  2. The holds defined for the workspace appears.

  3. Click New to create a new hold using the default subtype.

    Click the arrow next to choose another subtype. For more information, see "About Document Subtypes".

    A blank hold document appears. Some information may already be filled in, depending on the template used.

  5. Complete the following required information:
  6. On the Selected Documents and the Filtered Documents pages, specify the documents that should be held and the state that will trigger the hold.
  7. If you are performing a workflow action on the hold, complete the information required for this action. For more information, see "Hold Workflow Actions" for a list of preconditions for a specific action.
  8. Complete any additional required information. Headings marked with an asterisk (*) or highlighted fields are required. For more information, see "About Required Fields".
  9. Please refer to the following for more information on the fields for each page:

  10. Click Save.
  11. Proliance saves the page. Click Exit edit mode when finished.

    What can I do now?

Note:

  • Though Proliance will not allow you to create two holds with the same title, it is possible to create two holds that do exactly the same thing. If you find that you've created a duplicate hold, simply delete the duplicate hold.
  • All holds remain visible in the Holds register, even after they've been deactivated.
