Creating a Drawdown

Create a drawdown when you want to designate a particular allocation to cover an expense. Before you create a drawdown, ensure that the allocation that you intend to use has sufficient funds to cover any drawdown amounts.

 To create a drawdown in an expense contract or change order

  1. Open either of the following registers: (Expense) pre-commit Contracts, or (Expense) Change Orders.
  2. Select the document that you want to add a drawdown to.
  3. Click to enter the Schedule of Values page.
  4. Click Edit.
  5. On the grid, select the line item that requires the drawdown or add a new line item now.
  6. The allocations controlled by the line item are displayed as child BCM allocation rows indented below the line item. For more information, see "About the Schedule of Values Page".

  7. On the grid, select the allocation to create the drawdown or add a new allocation now.
  8. Proliance uses the default cost allocation of the same book type as the current document to fund the drawdown. If you wish to change the funding source, proceed to step 5. Otherwise, skip to step 7.

  9. In the Linked Drawdown Item column, click the Magnifying Glass icon The magnifying glass icon..
  10. The BCM Line Item dialog box appears. This dialog box shows only cost allocations with the same book type as the Cost Account shown in the row. For more information, see "Cost Account - Line Items".

  11. From the dialog box, select the cost allocation that will be the funding source for the drawdown.
  12. Optionally type a note about the drawdown under Drawdown Note.
  13. Click Save.
  14. Proliance saves your changes and attempts to perform the drawdown, if the current state of the document allows it to. The Actual Drawdown Amount column shows the amount that Proliance was able to draw down from the source line item. If Proliance is unable to draw down the full Item Amount, it locks the drawdown.

 To create a drawdown in an auto-commit invoice or cost event

  1. Open any of the following registers: (Expense) pre-commit Contracts, (Expense) Change Orders, (Expense) auto-commit Invoices, or Cost Events.
  2. Select the document that you want to add a drawdown to.
  3. Click either the Schedule of Values or Line Items page.
  4. Click Edit.
  5. On the upper grid, select the line item that requires the drawdown or add a new line item now.
  6. The allocations controlled by that line item are displayed on the Cost Account Allocation Grid at the bottom of the page.

  7. On the Cost Account Allocation Grid, select the allocation to create the drawdown or add a new allocation now.
  8. Proliance uses the default cost allocation of the same book type as the current document to fund the drawdown. If you wish to change the funding source, proceed to step 5. Otherwise, skip to step 7.

  9. In the DD Item Code column, click the Magnifying Glass icon The magnifying glass icon..

  11. From the dialog box, select the cost allocation that will be the funding source for the drawdown.

  14. Proliance saves your changes and attempts to perform the drawdown, if the current state of the document allows it to. Tip:

  • You can set up Proliance to automatically create drawdowns. On the Contract - Settings or Change Order - Settings pages, expand the Budget and Cost Settings category and select the Automatically Create Drawdowns check box.

Note:

  • The default cost allocation from the cost account is used as the default funding source for the drawdown. You can change this if necessary.
  • You can only change the amount of a drawdown by editing the Amount ($) of the controlled allocation.
