Creating a Change Order

You can create a change order from any of the following locations:

Your security role must have permission to create change orders and to read contracts. For more information, see "About Security Permissions".

To create a change order

  1. Open the Change Orders register for the type of invoice that you are creating (Expense or Revenue).
  2. —or—

    Open the Change Orders tab on the contract that you are creating the change order against.

  3. Click New.
  4. —or—

    Click the arrow next to New to select the template to use. For more information, see "About Document Subtypes".

    A blank change order appears. Some information may already be filled in, depending on the template you used. If you are creating the change order from the Change Orders tab of a contract, some of the information is already completed for you.

  5. In the Title field, type a title for the change order.
  6. If you are performing a workflow action on the change order, complete the information required for this action. For more information, see "Change Order Workflow Actions" for a list of preconditions for a specific action.
  7. Complete any additional required information. Headings marked with an asterisk (*) or highlighted fields are required. For more information, see "About Required Fields".
  8. Please refer to the following for more information on the fields for each page:

  9. Click Save when done.
  10. Proliance saves the new change order.

    What can I do now?

Note:

  • Once you create a change order for an expense contract, you cannot disable BCM integration for that contract. For more information, see "Enabling/Disabling BCM in Proliance".
  • If a cost period that contains the current date exists in Proliance, that cost period will automatically be entered on the change order when it is created, unless you have specified a cost period in the contract. In this case,the change order will auto-populate with the contract's cost period. The contract's cost period takes precedence.

  • If you don't have a cost period that contains today's date and the contract does not have a cost period, when you create a change order, the cost period will be blank. The cost period field is not required, so you will be able to save and approve the change order without a cost period.
