Performing a Workflow Action

All Proliance documents have workflow states that define where it is in its life cycle within Proliance. All documents have a Workflow tab. You advance a document through its workflow by performing a workflow action.

Each document has its own default set of workflow actions. If customized states were created for a document subtype, it will include the default actions for each state. Proliance may display the recommended action button at the top of the page.

Note: Names next to "Hcc:" cannot be removed here. In other words, these people must receive notice about a document's state change.

Selecting an Action to Perform

Many documents offer several possible courses of action from a given workflow state. If your security role permits it, you will see the actions you can perform under the under the Workflow button. These actions may be different from the recommended one. For more information, see "Setting Up a Document for an Action".

Notes:

  • Anyone with the appropriate security can perform a workflow action on a document, regardless of whether anyone was notified. Appropriate security in this instance means having a security role that enables a user to edit a document type and perform a workflow action.
  • Certain workflow actions can be reversed, but not all can. For example, a document that has been deactivated can usually be reactivated. To see the valid workflow actions of any document, refer to the Workflow Actions topic for that document.
  • Depending on your workspace limits of authority, certain roles may be unable to perform some workflow actions on your cost-related documents. For more information, see "About Limits of Authority".
  • It is not possible to perform workflow actions in the Portfolios work area. Workflow actions for documents added to portfolios must be performed in the Organization work area, and then synchronized to your portfolios.
