Creating Review Steps

A review step describes who should review the document or package and the timeframe in which the user is expected to complete his or her review.

You define and manage review steps either through the Review Process page of drawing, submittal and transmittal documents, the Review Steps page of drawing or submittal packages, or the Review Process page of forms, template forms, and catalog cards. Only users with a security role that has permission to update the document or package can create review steps. For more information, see "About Security Permissions".

All the review steps are collectively known as the review process for the document.

Sequential vs. Simultaneous steps

Most reviews are conducted sequentially: when one reviewer is finished with a document or package, Proliance passes it to the next reviewer. However, you can send a document to several users simultaneously by entering the same step number for the reviewers. The entire review may be conducted simultaneously (for example, all reviewers are assigned step 1), or only one step may be simultaneous (one reviewer has step 1 and three others have step 2).

For simultaneous reviews, the Actual Start Dates for all simultaneous steps are the same, while the Actual Start Date of the step that follows a simultaneous step is the latest of the Actual Finish Dates from the simultaneous steps which preceded it.

Joe, Bill, and Mary are assigned steps 1, 1, and 2 respectively. Both Joe and Bill receive the package at the same time and have the same Actual Start Date of June 16th. Mary does not receive the package until both Joe and Bill have finished their reviews, in this case with Actual Finish Dates of June 20th and 21st. Mary's Actual Start Date could then be June 22nd, after Joe's and Bill's Actual Finish Dates.

To create review steps

  1. Open the document, package, form or template form register.
  2. Select the document for which you are creating review steps.
  3. Click either the Review Steps page or the Review Process page.
  4. Any previously defined review steps are shown, otherwise the page is blank.

  5. Click Edit.
  6. The page enters the Edit Mode.

  7. Click Add.
  8. Proliance adds a new row to the page.

  9. Complete the necessary information for each column. Please refer to either of the following for more information, depending on the page you selected:
  10. Repeat steps 4 and 5 to add the remaining steps.

Note:

  • Packages and their items have their own review steps. However, once you add an item to a package, that item uses the review steps of the package.
  • You can create review steps for a package only when it is in the Draft or Submitted states.
