Contract Workflow States

A Contract document can have one of several states. Each state indicates the position of the document in terms of its life cycle. When you perform workflow actions on the document, the state of the document changes accordingly.

Draft

The contract is not yet complete or ready for activation.

Pending

The contract values are not agreed upon but are almost final.

The contract scope is almost fully defined.

You can create invoices against the contract.

If the contract was unapproved, Proliance changes the ACR column to the ACR column that was selected before the contract was approved. Note: This applies only if BCM integration has not been disabled for the contract or workspace.

Approved

The contract has been approved. You can approve change orders against the contract.

You cannot edit the contract unless you are assigned the "State Read-Only Fields - Contract" security role.

Closed

All scheduled work and materials have been delivered.

Contract administration work and payments are complete.

You cannot edit this contract unless you are assigned the "State Read-Only Fields - Contract" security role.

Proliance reports and calculations still use numbers from the contract, but you can no longer select the contract when working on any other workspace documents.

Pending Acceptance

The awarding company has submitted the contract to the receiving company.

The receiving company must now submit the contract for approval or not accept the contract.

You can create invoices against the contract.

You cannot edit the contract unless you are assigned the "State Read-Only Fields - Contract" security role.

Pending Approval

The receiving company has accepted the contract.

Either company can now approve the contract.

You can create invoices against the contract.

You cannot edit this contract unless you are assigned the "State Read-Only Fields - Contract" security role.

Canceled

The contract document is archived.

Information from the contract has no impact on Proliance reports and calculations.

You cannot select the contract when working on any other workspace documents.
