Issue Invitations and Collect Proposals
Generally, the bidding process involves:
- Creating and issuing a package. The bid coordinator is responsible for creating a package, adding bidders, defining the bid request details, and then issuing the package. When a package is opened for bidding, Proliance creates an invitation for each bidder.
- Accepting an invitation. Each bidder is responsible for reviewing and accepting or declining their invitation. If a bidder accepts their invitation, Proliance creates a proposal where they can enter their proposal details. Bid coordinators can track the status of each invitation.
- Submitting a proposal. Bidders work with their proposal until they are ready to submit it. Bidders may also need to respond to addenda issued by the bid coordinator. Once the bidding competition is over and proposals have been submitted, proposals become available to the bid coordinator for evaluation.

As a bid coordinator, you can use the following steps to complete a bid process:
- Create a package and set the bidding close date.
- Specify bidders.
- Add instructions to your package.
- Add details about the scope of work to be addressed in the resulting proposals, including drawings, spreadsheets and models.
- Add an itemized list of the goods and services to be included in the proposal.
- Issue the package. Proliance creates an invitation for each bidder.
- Monitor which bidders have accepted their invitations.
- When proposals are submitted and the bid process completion deadline has passed or the bid process has been closed, assess the submitted proposals.
- Award the winning proposal.
Bidders can use the following steps to acknowledge and respond to an invitation:
- Review the invitation by reading instructions, requirements, and downloading drawings, spreadsheets and models.
- Accept the invitation.
- Complete the proposal. Include details about cost, inclusions and exclusions. Bidders can upload files to attach to the proposal.
- Submit the proposal for evaluation.
