About Bid Invitations

When a package is set to Issued, a Bid Invitation document is created for each bidder in the package's Bidders List. The Bid Invitation document contains all the required information to respond to the bid request with a proposal. Bidders must acknowledge their invitation to start entering their information in a proposal.

Only certain fields on the Bid Invitation document can be updated by bidders: Title, Number, Brief Description, Full Description and Notes. All other fields are read-only for bidders.

A Bid Invitation document's information is grouped under the following pages:

• Main: This page contains general information about the invitation, such as its title, description, and responsible parties.  For more information, see "Bid Invitations - Main".
• Instructions: This page contains information about how the bidder should submit their bid. This information comes from the parent package's Instructions page. For more information, see "Bid Invitations - Instructions".
• Scope of Work: This page contains information about the items that the bid owner requires in the bid. This information comes from the Scope of Work page in the parent package. For more information, see "Bid Invitations - Scope of Work".
• Price Breakdown: This page contains information shared from the Price Breakdown page in the parent Bid Package document. For more information, see "Bid Invitations - Price Breakdown".
• Properties: Contains the attributes of the document, such as the author of the document, and the date in which the document was created. For more information, see "Document Properties".

Additional is also available on the following tabs:

• References: Displays the Addenda sub tab. The Addenda tab contains information about the changes made to the invitation after it has been issued. For more information about the invitation addenda that appear on this tab, see "About the Addenda Tab".

• Project: Lists the projects the invitation is linked to. All information on this tab is read only and is synchronized with the Project tab on the parent package. This tab is hidden if no projects currently exist in the workspace.

• Workflow: Enables you to see where the document is in its lifecycle, who has already performed actions on the document, and who will receive notification when the document changes to a specific state. For more information, see "Workflow tab".
• Activity Log: Records all the activities of the invitation, such as when it was saved, imported, exported, forwarded, or received. For more information, see "Activity Log tab".
• Attachments: Contains a list of other documents related to this invitation. For more information, see "Attachments Tab".
