About Document Synchronization

In Proliance, the same document can exist simultaneously in more than one place. This occurs when a Proliance user adds (exports) the document from one place to another. For example, you can add a staff document from the Organization work area to one of your workspaces or portfolios. There are now two staff documents, one in the organization and one in the workspace or portfolio. The one in the Organization work area is the source document. To ensure that the content of one document agrees with the content of other, Proliance proves a document synchronization feature.

Document synchronization uses a single instance of the document as the reference document for synchronization. Whenever synchronization occurs, Proliance updates the other instances of the document with any changes made to the reference document since the last synchronization.

How Proliance sets up a synchronization relationship

When you add a document from your organization to a workspace or portfolio, Proliance automatically makes that document the reference document for the newly created document instance. Subsequently, whenever the state of the document changes, Proliance automatically synchronizes the document so that all of its instances have the same state.

Whenever you edit and then save a reference document, Proliance gives you the option to synchronize it at the same time. You can also save the reference document without synchronizing it, and then synchronize it later. For more information, see "Manually Synchronizing a Document".

Note:

  • Deleting a reference document has no impact on the document instances with which it is synchronized. The only exception is the Workspace Properties document. If you delete this document from your organization, it is also deleted from the workspace.
