About Document States

All Proliance documents have a defined workflow state that indicates where the document is in its workflow process. This state determines which actions are available at any given moment, based on your security role.

The document state is normally shown on the Main page of a document and on the top right section of the document. It is also visible on the Workflow tab. To change a document from one state to another, you must perform a workflow action.

To learn about the states for each type of document in Proliance, refer to the Workflow States topic for the document. To learn about the life cycle for each type of document, refer to the Workflow State Diagram topic for the document. These diagrams illustrate the normal or default workflow path, plus all possible alternate paths. They do not, however, include any customized states that may have been created for a document subtype.

Note:

  • Not every action that you take on a document changes its workflow state. For example, editing and distributing a document does not change its state. Other actions that do not affect document state are found under the Options button on the page.
