Transfer - Settings

The Settings page of a transfer document is used to specify the default values for new transfer documents and to indicate when a cost transfer should be initiated. The transfer needs to be in edit mode before you can modify the settings.

Select the appropriate option from each drop-down list:

• Subtype State ACR Columns: Click the 'View Subtype State Configuration' link to view the currently active standard and user-defined states for this transfer document subtype, the default order in which these states will occur (sort order), and the Budget/Cost ACR column that will be updated when this document enters the given state. This link is available only after you save the document for the first time.

• Default Budget ACR Column for Approved Transfer / Draft and Pending Transfer:When the transfer document enters the Approved or Draft/Pending Transfer state, every budget allocation is assigned to an ACR column, which is summarized on the Anticipated Cost Report. You have three options:
  a. Leave as is and use the default ACR columns as set from your Local Admin.
  b. Override the default ACR column by selecting a different one. Note that this override only applies to the existing transfer document and not to new or existing ones.
  c. Select Use Subtype State Configuration to have this ACR column determined from the Local Admin's 'Subtype State Configuration' setting. This setting in the Local Admin only defines the ACR column for new and existing transfer documents that selected Use Subtype Configuration.
  Note: The 'No Change' option instructs Proliance to use the same ACR column from the previous state.
• Cost Transfer Active On:For cost transfers only. Specify whether cost transfers are initiated when the state of the transfer document is Pending or Approved, or only when in Approved states.
• Default Cost Book Type:Select the default book type from the drop-down list. When you create a new cost transfer allocation, the default book type selected in this setting appears in the Book Type column. Note: Existing lines are not affected by the change in default book type.
  
  The original default book type is taken from the document's template or from the workspace.
  
  The book types that appear on this list depend on the book types that have been enabled for your workspace. For more information, see "Enabling/Disabling Book Types in a Workspace".
• Default Budget Book Type:Select the default book type from the drop-down list. When you create a new budget transfer allocation, the default book type selected in this setting appears in the Book Type column. Note: Existing lines are not affected by the change in default book type.
  
  The original default book type is taken from the document's template or from the workspace.
  
  The book types that appear on this list depend on the book types that have been enabled for your workspace. For more information, see "Enabling/Disabling Book Types in a Workspace".

Show Unit Price Information:

• Default Pivot Type:

  Select which value should remain constant when Proliance recalculates the Total Amount based on this formula:

  Total Amount = Quantity * Unit Price

  The default pivot type is used when you create new items on the Budget Line Items page, You can change the pivot type when the line items are created.

  The Default Pivot Type setting is available only when Show Unit Price Information has been enabled.

• Cost Transfer Preference:

  Select Do Not Allow Overdraw to prevent the draw down from moving the total amount below 0 when the line item is an amount greater than what's available in the cost account.

  Select Allow Overdraw when you want the draw down to be the same as the full required amount; if the total amount is less than zero as a result, this is referred to as "Overdraw".

  Note: You can alternate between the two preferences as needed depending on your security permissions; the total amounts will immediately reflect the rules of the new setting.
