Working with File Attachments

Each revision of catalog card, drawing, submittal, or form/template form is designed to represent one external file or URL that is uploaded into Proliance. You can specify up to two file attachments per revision:

You can attach one or both versions, depending on the needs of the other users. For example, you may choose to attach only the presentation version of a CAD file because the source version is very large; or, you can omit the presentation version if you know that everyone can open the source version.

File attachments may be made from either a local or network file location or from a content management location (i.e., Sharepoint) that has been defined within the work area you are currently in.

You work with the file attachments using the File/URL Information section of the Main page of a document revision. The following table summarizes the actions available for file attachments.

The actions available to you may depend on your security role. Your ability to upload and download files to catalog cards is based on the permissions for your role. If the options for uploading and downloading are disabled, you do not have permission to upload, download, or view files.

View the file using the Brava! file viewer

View in Proliance icon.

The Brava! file viewer can display most file types. For more information, see "File Formats Supported by Brava!".

View the file using the registered application on your computer

Use this if you do not have Brava! installed on your computer or if it is unable to display the file. You must have an application on your computer that can open this file type.

Download the file to your computer

Download file icon.

This saves a copy of the file in your computer. Note that any changes to this copy are not reflected in the file still attached to the document revision.

Attach a file or URL to the document revision

Upload file icon.

This attaches a file or URL to the document revision. If there is already an attachment, it will be replaced.

Note: When you specify a URL, the file contained in the URL is not actually uploaded into Proliance. Rather, that file remains in its URL location and is simply referenced by Proliance. Changes to the URL location may result in broken links within Proliance.

You can control whether the file is renamed when it is uploaded. For more information, see the File/URL Information section on the Main page of the document revision.

Remove the attached file

Delete file icon.

This removes the attached file from the document revision and from Proliance. If you still need the file in Proliance, you must add it again and attach it to a new revision.

Note:

  • Anyone with security permission to view the catalog card, drawing, submittal, or form/template form can view, download, or edit the attached files.
  • If you specify a URL within a password-protected site, only authorized users will be able to access the file.
