Attaching Sharepoint Files to Proliance Documents

The Sharepoint sites defined for each work area also provide the basis for enabling the attachment of files or links to files that are currently stored within one or more Sharepoint repositories. Any files stored within a Sharepoint site, which has been associated with a work area, can be attached to a Catalog Card document using its External File Attachment capability. They can also be attached to any Proliance document using the functionality built into the Attachments Tab.

As Sharepoint provides the ability to reference a file stored within it via a URL, Proliance allows you to attach a file to a document by means of either copying it or linking to it.

Copying - Attaching a file by means of copying it means that a copy of the file as it existed at that point in time is downloaded into Proliance's file management system. This is useful when you wish to store a static version of a file that will not change over time, and can be considered to be similar to attaching a file to an email.

Linking - This term refers to the ability to attach a reference to a file rather than a physical copy of that file. It means that by doing this, Proliance will access the file from it's Sharepoint location rather than downloading a copy into it's own file management system. This can be very useful when you need Proliance to be able to access a file that is updated on a regular basis and you need to be sure that you are always accessing the most recent version of this file.
