Using the Workflow Diagram Viewer
Using Workflow Diagram viewer on the Workflow tab of most Proliance documents, you can view a graphical representation of a document's workflow and then click parts of the diagram to view additional detail.
Information shown in the Workflow Diagram include:
- The current workflow state of the document.
- The next default action for the document.
- The security roles that can move the document to a state.
- The history of each state, including the number of times a state has been visited.
- 'To' notification recipients for each action.
- 'Cc' notification recipients for each action.
- 'Always Cc' or Hard Carbon Copy (Hcc) notification recipients for each action.
Note:
- Workflow Diagram requires that Microsoft Silverlight is installed on the client computer.

The Workflow Diagram Viewer is composed of:
- The main workflow diagram pane.
- A toolbar.
- A details pane on the right side.
The Workflow Diagram Pane
The workflow diagram pane displays a workflow as a series of shapes connected by arrows. The shapes represent states, while arrows represent actions. The following table describes the elements that can be part of a workflow diagram, depending on workflow state and conditions.
Tip:
- Use the hand tool to move the diagram so that you can see all areas of it. To move the entire diagram view, click and drag on the diagram background while holding down the SPACEBAR on your keyboard.

Workflow Diagram Toolbar
The Workflow Viewer toolbar displays at the top of the viewer pane. The Workflow Viewer toolbar provides the following functionality:
- Zoom in. Makes the diagram view larger.
- Zoom out. Makes the diagram view smaller.
- Size to fit. Reduces or enlarges the diagram to fit into the current window.
- Export. Displays a file browser dialog where you can save a .png file of the current diagram.
The Details Pane
The details pane displays to the right of the diagram pane. It displays additional detail information according to the object that is selected in the diagram pane , such as:
- Diagram settings
- State details
- Action details
Diagram Settings
If you click on the background of the diagram pane, the Diagram Settings pane displays to the right of the diagram pane.
Within the Diagram Settings pane, you can use the Show State Detailssection to specify what information is displayed in the diagram pane:
- None. Select to clear all state details from the diagram.
- State Internal Type. Select to display the internal type for each state in the diagram. You can use this information for troubleshooting purposes.
- State Type Name. Select to display the type name for the state. You can use this information for troubleshooting purposes.
- Enter State Users. Select to display the users who have permissions to move the document to each state.
- To Recipients. Select to display the users that receive ‘To’ notifications when the document enters a state.
- Cc Recipients. Select to display the users that receive ‘Cc’ notifications when the document enters a state.
- Hcc Recipients. Select to display the users that receive ‘Always Cc’ (Hard Carbon Copy) notifications when the document enters a state.
The Sub Type Properties section displays below the Show State Details section in the Diagram Settings pane. Use this section to view general information about the workflow diagram:
- Initial State. Displays the first state in the workflow.
- Document Sub Type. Displays the template used to create the document. You can use this information for troubleshooting purposes.
- Document Type. Displays the type of Proliance document. You can use this information for troubleshooting purposes.
State Details
Click a state item in the diagram pane to display the details about the selected state. State details shown in the details pane are:
State Details
- Display Name: Shows the display name of the state.
- Notes: Displays configuration notes for the state.
Properties
- Internal Name:. Displays the selected state's internal name. You can use this information for troubleshooting purposes.
- Type: Displays the type of the selected state. You can use this information for troubleshooting purposes.
- Sort Order: Displays the sequence number within the workflow for the selected state.
Distribution
- Action Required: Displays the next default action in the workflow.
- Message: Displays a text message for the state.
- To Roles: Lists the ‘To’ roles who receive a notification when the state is entered.
- To Recipients: Lists the individual ‘To’ users who receive a notification when the state is entered.
- Cc Roles: Lists the ‘Cc’ roles who receive a notification when the state is entered.
- Cc Recipients: Lists the individual ‘Cc’ users who receive a notification when the state is entered.
- Hcc Roles: Lists the ‘Always Cc’ (Hard Carbon Copy) roles who receive a notification when the state is entered.
- Hcc Recipients: Lists the individual ‘Always Cc’ (Hard Carbon Copy) users who receive a notification when the state is entered.
State Security Configuration
- Enter State Roles: Displays the roles that have permission to move the document to the selected state.
- Enter State Users: Displays the users that have permission to move the document to the selected state.
- Edit Roles: Displays the roles that have permission to edit the document in its current state.
- Edit State Users: Displays the users that have permission to edit the document in its current state.
History
- Displays detailed information about each visit to the selected state, including, who moved the document to the state and when.This information is only displayed when the selected state has been visited at least once.
Action Details
When you select an action item in the diagram pane, action information shown in the details pane includes:
- Display Name: Displays the action name.
- From State: Displays the state name where the action originates.
- To State: Displays the state name where the action terminates.
- Notes: Displays notes for the action, entered by the administrator.
- Internal Name: Displays the action internal name. You can use this information for troubleshooting purposes.
