Configuring Content Management

To integrate with and access any element of your Sharepoint system, Proliance needs to be aware of which Sharepoint sites you wish to associate with which work areas. This is achieved by defining the Sharepoint sites you require for each work area in the Workspace and Portfolio Properties pages.

A Cascade feature will allow for sites that have been entered at a higher work area level to be automatically cascaded down to work areas below that in the work area hierarchy. For example, if you define a specific site for a Portfolio, that site will also automatically be created for all Workspaces that are 'owned' by that Portfolio.

To configure content management

  1. Open the Workspace or Portfolio Properties register.
  2. Open the properties document.
  3. Click Edit.
  4. Under the Content Management Sites section, click Add Line.
  5. Under Site URL, enter the complete URL of the Sharepoint site you wish to access from this work area. Example: https://portal.acme.com
  6. Under Description, enter a description of the Sharepoint site you have defined.
  7. If you are working in the Portfolio Properties document, you may check the "Cascade" check box if you want this site to be automatically created within all the Workspaces that are owned by this Portfolio.
  8. Click Save.

Note:

  • In order to allow your Sharepoint sites to integrate with Proliance, it may be necessary for your Network / Sharepoint Administrator to make some configuration changes to your network and security environment. Details of how this can be done can be found in the Proliance installation guide.
  • Please check with your Network / Sharepoint Administrator for the full and correct address of the Sharepoint site(s) you wish to integrate with Proliance, as an error in the site name will prevent Proliance from connecting to that site.

Tip:

  • Ask your network administrator to synchronize your Proliance and Sharepoint security details so that accessing and browsing Sharepoint from within Proliance will become seamless and transparent.
  • This will also be useful if you plan to attach Sharepoint held files to Proliance documents.
