Changing the Book Type of an Allocation

Every allocation has a book type. Changing the book type of an allocation depends on the controlling document: some documents can only have allocations with one book type; while other documents can have allocations with different book types. For example, expense contracts can only contain allocations that all have the same book type. Transfer and scope documents can contain allocations that have different book types. The steps for changing the book type depend on the controlling document.

You can change the book type of any allocation to any other book type that is active for that document, unless the allocation serves as the funding source for a drawdown.

When you change the book type, Proliance creates two transactions to record the change: the first transaction removes the allocated amount from the old book type, while the second transaction adds the allocated amount to the new book type. For more information, see "About Transactions".

ClosedTo change the book type of a cost account allocation

  1. Open the Cost Accounts register.
  2. Select the cost account containing the allocation to change.
  3. Click the Line Items page.
  4. Click Edit.
  5. Select the allocation with the book type to change and click Change Book Type.
  6. The Reassign Book Type dialog box appears.

  7. Select the new book type from the Book Type drop-down list and click OK.
  8. Note: Only the book types that are active in the allocation's cost account are shown in the list.

ClosedTo change a book type of an allocation in a transfer or scope document

  1. Open the transfer or scope document containing the allocation whose book type you wish to change.
  2. Click the Line Items page (scope) or Budget Line Items/Cost Line Items page (transfer).
  3. Click Edit.
  4. In the Book Type column of the allocation, click the Magnifying Glass icon The magnifying glass icon..
  5. The Change Line Item Book Type dialog box appears.

  6. Select one of the Available book types to use.
  7. If you need to change to a book type marked Not Available, do one of the following:
  8. If the hyperlink Enable This Book Type by Changing Cost Account appears, click it and select another cost account.

    If no hyperlink appears, then click Cancel to exit the wizard and activate the book type in the current document's Settings page. Once this is done, restart the wizard to complete the change.

  9. Click OK.
  10. Proliance changes the book type for the allocation.
