Assigning Roles to a User

When you assign a security role to someone, you give that person all the security permissions defined for that role in the current area of Proliance.

Note that the roles that you can assign to a user depend on the category to which the user belongs. If the category is exclusive, you can only assign users to the roles listed in the category. Conversely, if the category is not exclusive, you can assign any role available to the current area of Proliance.

Note:

  • Permissions from a security role complement any permissions already granted by the company role for the user.
  • If the user's list of roles differ from the selected Category's list of roles in the Principal Set, an information message is displayed in the Security section of the Account page.

To assign roles to a user

  1. Open the contacts or staff register in the work area you want to assign roles.
  2. Select the contact or staff document for the user who will be assigned the roles.
  3. Click the Account page and then click Edit. If this is on the Organization level, the user must be granted Organization Access to be able to use this functionality.
  4. In the SECURITY section, you can assign the roles by using either Add Line or Add User Roles .
  5. To assign the roles using Add Line, select the Security Category and then click Add Line.

    Select the roles to add from the Roles dialog box. You can assign as many roles as necessary. Permissions from each of the roles will overlap each other. You can also assign no role for the user, in which case the user's access to the current area of Proliance will depend exclusively on the permissions from the company role. If no permissions have been defined for the company role, then the user will not be able to do anything in the current area of Proliance.

  6. To assign the roles using an existing user, click Add User Roles

    Find the user whose roles you want to add and click Add, located on the first column of the contact dialog.

  7. Note:

    • If the current user has no security category selected and the Add User Roles is used to select another user's roles, both the security category and the roles from the other user are copied.
    • If the current user has a selected security category and Add User Roles is used to select another user's roles, only the security roles are copied and merged with current user's roles.
  8. Click OK to close the Roles dialog box.

Proliance adds the selected roles to the user's roles. The permissions for the assigned roles will take effect the next time the user logs on to Proliance. If the user is currently logged on, the new permissions will take effect the next time the user's screen is refreshed.
