Daily Work Journal - Equipment

The Equipment page of the daily work journal document is used to record detailed information about the equipment used at the site.  This information can either come from a predefined catalog, or you can manually enter the information during data entry.

You can enter or edit any of the following equipment information. Some information may already be entered if the equipment section was set to auto fill in the daily work journal set. You can change any auto filled information. All fields are optional.

• Area/Zone: Click the Magnifying Glass icon and select the area/zone code that describes the area or zone where the equipment is being used.
• Area/Zone Extra: Use this box to type an area/zone that doesn't appear in the Area/Zone list, or to enter additional information about the area/zone.
• Categorization Code: Click the Magnifying Glass icon and select the appropriate code to categorize the piece of equipment.
• Equipment: Click the Magnifying Glass icon and select the piece of equipment for the entry.
• Equipment Status:

  From the drop-down list, select the current operating status of the equipment. You can choose one of:

  • Active-Regular: The equipment is in regular usage. With this setting, you can specify a Regular Rate but not an Overtime Rate. This is the default.
  • Active-Overtime: The equipment is in overtime usage. With this setting, you can specify a Overtime Rate but not an Regular Rate.
  • Idle: The equipment is currently not being used. With this setting, you can specify neither a Regular Rate nor an Overtime Rate.

  Note: When switching between Regular and Overtime usage, you must save the document in order to refresh the row.

• Notes:Type some text that further describes the equipment or its usage at the site.
• Number of Units: Enter the number of units for the specified Equipment Unit of Measure. Proliance uses this number to calculate the Total Charge.

• Regular Rate: Enter the regular rate of cost for using this piece of equipment. For example, $150/hr. You can set a regular rate only when Equipment Status is set to 'Active-Regular'.

• Operating Company: Click the Magnifying Glass icon and select the operating company for the piece of equipment.  
• Overtime Rate: Enter the overtime rate of cost for using this piece of equipment. For example, $200/hr. You can set an overtime rate only when Equipment Status is set to 'Active-Overtime'.

• Reading:Enter a current reading for the piece of equipment. The reading is typically the value of the main recording mechanism on the equipment for determining the number of units. For example, if the charge is per kilometre, it would be the odometer. If the charge is per hour, there is usually an 'operating hours' gauge on the equipment
• Total Charge:

  Proliance calculates the total charge as follows:

  For Equipment Status = 'Active-Regular'

  Total Charge = Regular Rate * Qty of Units

  For Equipment Status = 'Active-Overtime'

  Total Charge = Overtime Rate * Qty of Units

• UOM (Unit of Measure): Enter the unit of measure to describe how the equipment is used. For example, enter 'hrs' to indicate that the usage of the equipment is measured in hours.

The daily work journal document needs to be in edit mode before you can enter or modify any information.
